1. Code of Conduct
    Users of YMCA Taunton are expected to uphold the organisation’s code of conduct, which is based on respect for others and the facility.
  2. Insurance and Liability
    • The hirer may be required to hold adequate insurance to cover their liability, members of their organisation, and invitees for all claims arising from the hire.
    • YMCA Taunton accepts no responsibility for loss or damage to personal property or any injury sustained on the premises.
  3. Accidents and First Aid
    • Any accident or injury must be reported to the Centre Manager.
    • Accident/incident forms and first aid equipment are available at reception.
    • Regular user groups must provide their own first aid kit.
  4. Prohibited Items and Activities
    The following are strictly prohibited on YMCA Taunton premises:
    • Smoking, alcohol, and illegal substances
    • Naked flames
    • Bicycles, scooters, and skateboards
  5. Music and Licensing
    • YMCA Taunton holds a Performing Rights Society (PRS) licence, allowing the use of copyright music (e.g., CDs, radio, TV, live performances).
    • An additional charge of £1.00 per hour applies if music is played during the hire.
  6. Respectful Behaviour
    Physical or verbal abuse of staff, volunteers, or other users will not be tolerated.
  7. Cleanliness and Tidiness
    • YMCA Taunton will ensure the hired space is clean and tidy before any booking.
    • It is the hirer’s responsibility to leave the space in the same condition after use.
  8. Booking and Room Access
    • The hired room(s) will only be available during the agreed booking times.
    • Early access may not be possible.
    • YMCA Taunton reserves the right to offer an alternative space if unforeseen circumstances arise.
  9. Emergency Procedures
    • Group leaders must familiarise themselves with emergency procedures and share them with their group.
    • The Duty Manager will provide facilities information at the start of the session.
  10. Supervision of Groups
    • All groups must be adequately supervised.
    • The group leader must make themselves known to the Centre Manager.
    • YMCA Taunton staff are not responsible for group supervision.
  11. Safety and Risk Management
    • The group leader must inform YMCA Taunton if any member poses a risk to staff or other users.
    • This information will be kept strictly confidential.
  12. Equipment Storage and Responsibility
    • Any equipment left on the premises must be agreed upon in advance.
    • YMCA Taunton is not responsible for loss or damage to stored equipment.
  13. Damage and Additional Costs
    • The hirer is liable for costs incurred due to damage or excessive cleaning required after hire.
  14. Safeguarding
    • Hirers working with children under 16 must be familiar with and adhere to the Home Office Code of Practice “Working Together to Safeguard Children 2023“.
    • A copy is available on request or via the government website.
  15. Termination of Agreement
    • Failure to comply with YMCA Taunton’s terms may result in the termination of the hire agreement.
    • Written confirmation will be provided to the group’s main contact in such cases.
  16. Cancellation Policy
    YMCA Taunton operates within tight financial constraints as a registered charity. Cancellations must be submitted in writing via email to info@ymcataunton.co.uk or directly to the Centre Manager on 01823 274667. You can also cancel using the using the online booking system if this is how you originally booked. Cancellation fees apply as follows:
    • Meeting Rooms/Party Bookings
      • More than 21 working days’ notice – No charge
      • Between 10 and 21 working days’ notice – 50% of hire charge
      • Less than 10 working days’ notice – 100% of hire charge
    • Block Bookings
      • +72 hours – a credit note will be added to the next invoice
      • -72 hours – no refund will be issued
    • Ad Hoc Sports Bookings
      • +12 hours – you can rearrange your booking to an alternate day via the online booking system
      • -12 hours – no refund will be issued
  17. Payments
    Unless agreed in advance the following applies:
    • Meeting Rooms/Party Bookings
      • 50% deposit is payable on booking and payment must be made in full 24 hours before the event.
      • All invoice payments must be received by YMCA Taunton by the 28th of the following month.
    • Block Bookings
      • 50% deposit is paid in advance on 1st of the month
      • Weekly balance paid at time of booking
      • Cancellations made with 72 hours will receive a credit note

    • Ad Hoc Sports Bookings
      • Full payment must be taken for all bookings at time of booking.
      • Bookings can be made via our online booking system
      • Bookings can also be made in person in reception and payment taken via cash or card.
      • Bookings by phone can be taken but payment must be made by card
      • Bookings can not be made by email
